The H2020 research Infrastructure MOSBRI offers access to molecular scale biophysics instrumentation, networking and training. The services offered include trans-national access (TNA), both physical and remote access, as well as some products. Furthermore, MOSBRI offers a selection of training events and courses. Details of the services available and events are detailed on our website www.mosbri.eu .

To provide these services, for re-imbursement of e.g. travel and accommodation costs and for reporting activities required by the MOSBRI grant agreement with the commission, we collect personal data, as well as details of which services you have received from us. You can read more about the different types of data that are collected and processed below.

Who collects data:

The MOSBRI website and thus data controller is part of a MOSBRI management work-package, which has delegated the responsibility of the website to the AU-SRCD partner at Aarhus University. Address:

For the purpose of hosting the website, One.com is the Data Processor, while AU-SRCD remains the website’s Data Controller.

The data collection, access and processing is detailed below.

What data do we collect:

Most of the MOSBRI website is open to everyone and does not require any login for information about services, news, events and MOSBRI research results. However, access to some parts of the website that include submission of data are secured behind a login.

Login for MOSBRI consortium partners:
As a MOSBRI partner, you need access to information such as agendas and minutes of meetings. To gain access to these documents requires that you are logged into the internal area of the website. An account can be setup by the MOSBRI web manager and to do so you need to give consent to collection of the following data:

  • Name, MOSBRI partner name and e-mail address.

These data are stored as long as you have access to the website, and might be extracted for contractual reporting under the MOSBRI grant agreement. In case of your MOSBRI participation defaulting, as outlined in the consortium agreement, your data will be stored until the contractually required reporting is finalised, see the section “Duration of personal data storage” for further general information.

MOSBRI event registration:
If you want to participate in events such as training schools and meetings, we will require that you register for the event using the registration form provided on the website. Event management, logistics and re-imbursement of eligible costs (travel, accommodation etc.) will require that you provide us with some essential personal data. As part of the registration, we will need you to provide the following information:

  • Name
  • Research organisation affiliation, including address
  • E-mail address.

When registering for an event on the MOSBRI website, we will explicitly ask you to consent to us storing and processing these data (required) as well as for consent for receiving MOSBRI newsletters (optional).

Event data:
When you register for an event, i.e. a MOSBRI training course or meeting, your data is required for the MOSBRI partner organising the event. Besides the personal data listed above, the website needs to store:

  • Event attended
  • Event dates

The MOSBRI management has access to and will process this data for contractual obligations and reporting.

When registering for an event, a confirmation email will be sent to you that includes all the data you have provided, together with a unique ID for handling the registration.
In addition to these event data, the hosting MOSBRI partner requires:

  • Bank information for travel re-imbursement to the attendee.

These data are not stored on the MOSBRI website and are handled according to data protection legislation and law, including the EU General Data Protection Regulation (GDPR), by the hosting MOSBRI partner.

Transnational access (TNA):
In order to take advantage of our offer for TNA you will have to submit a research proposal for scientific review. MOSBRI utilizes its own proposal submission system MOSBRI-SMART: MOSBRI’s Submission, Moderation And Review for Transnational access.

To process your research proposal, we need to collect the following personal information to ensure that you are eligible for support:

  • Name
  • E-mail address
  • Affiliation
  • Affiliation country

Furthermore, we need information about your research project in terms of descriptions, background and samples. This information will be viewable to the MOSBRI moderators, reviewers and TNA sites, but is otherwise considered confidential information and will not be shared with third parties in any form. The reviewer can only view research project information and none of your personal information. Please be mindful of disclosing your identity via the information you give in the project description.

To administer the MOSBRI project grant, MOSBRI is contractually obliged to upload information about you and your use of TNA to the EU grant portal. This documentation is a requirement for providing transnational access free of charge. The information which is needed and uploaded are:

Researcher information:

  • Name, Gender and Nationality

Employing organisation/Home institution

  • Name, Legal Status and Country

Project data

  • User-project acronym, Discipline and access start/end dates.

These data are collected by the TNA site, using the MOSBRI user registration form that must be completed before the end of a TNA visit.

To document that TNA has been delivered, the user/group leader must submit a Project Summary Report to the TNA site. Here we ask for information about:

  • Project Objectives and Main achievements

According to the MOSBRI grant agreement (No 101004806) with the European Union, represented by the European Commission, this information is kept on record for at least five years after the end of the MOSBRI project.

You may ask the TNA manager at any time what information is on record about you:

Newsletter: Your e-mail address is used for sending you our Newsletter, but only if you have given direct consent. This may be done either by sending your email address to or by giving consent to receiving the newsletter when signing up to a MOSBRI event. You can withdraw your consent to receiving the MOSBRI newsletters at any time by sending an email with the subject ‘unsubscribe’ to .

Third parties: We do not give away or sell your private data to any third parties.

IP address: Your IP address is retrieved when you visit the MOSBRI website, but is stored in an anonymous form, retaining only the country from where you accessed the website. This storage is used for statistical purposes.

Complaints: If you have issues with how the website works, with messages you receive or how the website uses your personal data, please do not hesitate to contact us at .

Length of personal data storage: The data you have given consent for MOSBRI to collect and process, in order for us to provide our services to you, are stored for contractual reporting purposes only. This requires that we store your data until the reporting of the MOSBRI activities are concluded after the end of the MOSBRI H2020 project.
